Office and Events Coordinator

As the Office and Events Coordinator, you will report to the Director of Business Administration on the Strategy and Planning team. This team supports Research Square Company by formalizing the company’s strategic-planning process, supporting collaborative growth and efficiency gains across the company, and building transparency and accountability to ensure that the company’s goals are aligned with its long-term strategy, ultimately working to optimize business results in order to maximize shareholder value. Overall, we seek to remove points of friction across the organization while facilitating opportunities for growth and improved efficiencies -- to help make our organization and everyone in it better. This role is anticipated to start on a part time (75%) basis with the potential to increase to full time based on need and company growth. In the position of Office and Events coordinator, you will support these goals in the following ways:

  • Plan events, including ordering catering and preparing the office for smaller and more frequent in-office events as well as preparing for 3x/year all-company meetings (reserving lodging, arranging catering, preparing the office, and planning and coordinating outings).
  • Act as main point of contact for all office needs, including purchasing of break room supplies and office consumables and serving as the point of contact for facilities and services vendors.
  • Create and update documentation for standard office and event planning procedures.
  • Receive and send mail and packages as needed.
  • Act as receptionist as needed, with a general commitment of at least Monday-Thursday from 9am-4pm, once the office reopens (post-COVID).
  • Welcome guests and give office tours as needed.
  • Have the potential to grow into promoting team understanding of company strategy and metrics through internal communication channels.
  • Complete additional projects as needed and as time permits.
  • Initially spend the majority of your time on event planning and social coordination, with the remainder going to office administration and communication tasks

Successful applicants will meet the following requirements:

  • Highly organized and collaborative.
  • Results oriented and self-starting, with strong personal accountability. 
  • Experience in event planning, budgeting, purchasing, and vendor relationships.
  • Strong written, oral and interpersonal communication skills. 
  • Strong prioritization and deadline achievement skills, must be able to consult stakeholders and adjust priorities accordingly.
  • Relevant Bachelor's degree (or 3 years relevant experience) preferred
  • Proficient with Google Suite, especially Calendar, Docs, Slides, and Sheets.  
  • Artistic and graphic design skills are a plus!
